Data deletion

This page explains how to ask us to delete your personal data and what happens when you do. For the detail of what data we process and why, see our Privacy Policy.
1. First: which one are you?
The answer depends on who you wrote to, and it is not a formality — it determines who is able to delete your data.
- You have a Xivalo account (you or your company signed up and use the platform). Then we are the controller of your data and you can ask us directly to erase it. Go to section 2.
- You wrote to the WhatsApp number or the website chat of a company that uses Xivalo, and an automated agent replied. Then that company is the controller of your data and we only process those messages on their instructions. Go to section 3.
2. If you have a Xivalo account
2.1. Delete everything yourself
Go to your profile inside the dashboard and use the delete account option. It is immediate and you do not need to ask us: it removes your account, your workspaces, your recordings, transcripts and summaries, the associated audio and video files, and the conversations from any channels you had connected.
It cannot be undone. We do not keep a copy that would let us reverse it.
2.2. Ask us to do it
If you would rather we did it, or you only want part of your data removed, write to info@xivalo.ai with the subject “Data deletion” from the email address you signed up with, and tell us what you want removed.
We will reply and carry it out within 30 days at most, as the GDPR requires. If we need to confirm your identity first, we will say so in that reply.
3. If you wrote to a company that uses Xivalo
When you message a company that uses Xivalo — over WhatsApp or through the chat on their website — that company is the data controller for those messages and we act as the processor: we handle them on their instructions and cannot dispose of them on our own initiative.
The fastest route is to contact that company directly. But if you cannot work out who they are, or they do not reply, write to us anyway at info@xivalo.ai: we will help you identify them and pass your request on. To find your messages we need you to tell us:
- The phone number you wrote from, in international format (for example, +34 600 111 222), if it was over WhatsApp.
- The number or website of the company you wrote to, or its name.
- Roughly when the conversation happened.
Without the phone number we cannot locate the conversation: it is the only thing that identifies it in our system. We will not ask you for any document or any detail beyond what is needed to find it.
4. What is deleted automatically, without asking
Much of this data expires on its own. You do not need to do anything for that to happen:
- WhatsApp and website chat conversations are deleted 90 days after the last message in that conversation, including the phone number and profile name of whoever wrote.
- Contact details someone left and that were later deleted from the company’s dashboard disappear from the screen the same day, and are removed from the database 30 days later.
5. What we may keep, and why
After deleting your data we may keep strictly what is needed to meet legal obligations: invoices and accounting records, which tax law requires us to retain, and minimal technical security logs. Neither includes the content of your meetings or your conversations.
